monday.com Auto Assign Tasks with Round Robin Assignment and Fair Task Owners

A request form on your monday.com board collects 60 new items a week. Someone has to put a name in the Owner column of each one, and right now that someone is you, every morning, before your own work starts. You go looking for the round robin automation everybody mentions, search the Automation Center on your Work Management board, and it is not there.

In short

monday.com auto assigns tasks in three native ways. Any board can run an automation that assigns a fixed person or the item creator when a trigger fires. Round robin assignment, which rotates new items through a team, is a monday CRM feature on the Standard, Pro and Ultimate plans, and monday service has its own version in the Agent column. Both rotate in fixed order, reset every 30 days, skip people whose working status says they are unavailable, and do not look at workload. On Work Management boards a marketplace app or an outside router such as Assigner does the rotation.

Operations team lead handing out new work to two teammates at their desks

Why it fits

This page is for an operations, sales or support lead who runs work on monday.com and wants new items to get an owner automatically and fairly, whether the board is in Work Management, monday CRM or monday service, without a person handing out work every morning.

Round robin lives in CRM and service

monday lists round robin automations among the features found only in monday CRM, on Standard, Pro and Ultimate. monday service has Assignment routing in the Agent column. A plain Work Management board does not get the recipe, which is why the search comes back empty.

Availability means working status

The automation only assigns people whose working status on their monday profile says they are available. If a rep forgets to set Out of office before a vacation, the rotation keeps handing them leads for the whole week.

The rotation ignores workload

monday says it directly in the limitations: round robin does not factor in a team member workload, only their availability according to their working status. Someone holding 40 open items gets the next one if it is their turn.

People only, never a team

You cannot assign an entire team with round robin. The automation picks one individual from a team you select and writes them into a People column, so the team has to exist under account teams first.

Order resets every 30 days

The rotation restarts every 30 days. That keeps counts roughly even over a month but means the person at the top of the order gets the first item of every cycle, and nobody can see the position mid cycle.

Every owner needs a reason

When a rep asks why a colleague got the large inbound deal, monday has no answer beyond it was their turn. Assigner records the rule, rotation position, open load and availability behind each owner it sets, and writes the name back to your board.

In detail

How automatic task assignment works in monday.com, product by product

Why your Work Management board has no round robin recipe

monday.com sells three main products on one platform: Work Management, monday CRM and monday service. They share boards, columns and the automation engine, so it is natural to expect the same recipes everywhere. Round robin is the exception. monday lists round robin automations in its Help Center article on the features found only in monday CRM, and the round robin article itself says who can use it: available on monday CRM, on the Standard, Pro and Ultimate plans.

That has a practical consequence. An operations team that runs intake on a Work Management board can build automations that assign a specific person, or assign the item creator, when a status changes or an item is created. What it cannot do natively is rotate new items through five people. The usual workarounds are a status column per person with a formula, a second board in monday CRM that exists only to borrow the recipe, or a marketplace app. Each one works until the team changes, and each one hides the logic in a place the next admin will not find.

Basic CRM is also out. Round robin starts on Standard, the first CRM plan with automations, so a sales team on Basic sees the recipe advertised but cannot turn it on.

How the monday CRM round robin automation actually works

The structure is the same in all three setups: when a trigger happens, assign available people from a team to a People column in a round robin. monday documents each part.

  • Trigger. Anything the automation center offers, such as when an item is created, when an item is moved to this board, or when a date arrives. There are 10 pre-built recipes; search round robin in the Automation Center to find them.
  • Available people. The automation reads the working status each person sets on their monday profile and only assigns those who are available.
  • Team. The people you rotate through must be in a monday team. You manage teams at the account level, not on the board.
  • People column. You choose which People column receives the name, for example Owner or Sales rep.
  • Round robin. The next available team member is assigned, and the rotation resets every 30 days.

You can also use round robin as the action inside a custom automation, and on the Ultimate plan as an action block in the workflow builder, which lets you add conditions such as only rotate leads from the Enterprise segment.

The two limits monday documents, and what they cost you

The round robin article ends with a short limitations list. Both items matter more than they look.

You cannot assign entire teams with round robin. The rotation always writes one individual. If your process is to hand a lead to the West team and let them decide, the automation cannot express that, and you end up with one team per region and one automation per team.

Round robin does not factor in workload, only availability according to working status. This is the one that produces the complaints. A rep who closed nothing this week and is sitting on 35 open leads gets the next one when their turn comes. A new hire who is still shadowing calls gets an equal share on day one. The rotation is fair by count, not by effort, and monday says so.

Neither limit is a bug. Round robin is meant to be simple. The problem is that most teams outgrow simple within a quarter, and the only native next step is to rebuild the logic in the workflow builder on a higher plan.

Working status is the only availability signal

Because the automation trusts working status, the quality of your rotation depends on whether people set it. monday describes the working status as something each user picks in the profile section of their account, with options such as working from home or out of office. The Working Status board view and dashboard widget that let a manager see everyone at a glance are documented as available on the Enterprise plan only, so on smaller plans nobody has a single view of who is marked away.

Three patterns follow from that. A rep who forgets to switch to out of office before a week of vacation keeps receiving leads all week. A rep who is in the office but booked solid with demos is available as far as monday knows. And a part time teammate who works mornings is in the rotation all afternoon. If any of those describe your team, the rotation needs a second signal, either a manual reassignment habit or a tool that reads calendars and open load.

Auto assign tickets in monday service

monday service has its own assignment options on the Tickets board, separate from the CRM recipe.

  • Assignment routing in the Agent column. Open the three-dot menu on the Agent column, choose Settings, then Assignment routing, and pick the team to rotate through. Each new ticket goes to the next person in that team, and the rotation resets every 30 days. No workflow is needed.
  • Round robin assignment block. In the workflow builder you can add rotation after a trigger such as when a new item is created, alongside other steps like setting a priority. The smart assignment article lists this block on the monday service Enterprise plan.
  • Auto-assign people with monday AI. From the same Agent column menu you choose an input column, such as Priority, and list the team members with their skills or roles. monday AI matches each ticket to the agent it judges best equipped.

One restriction catches teams that run a customer portal: monday states that customer portal external users cannot be set as a People column value in any automation, because they are not account members. Routing a ticket back to the requester, or to an outside contractor who only uses the portal, is not possible through automations.

Marketplace apps for round robin on any board

When the native options do not fit, most teams look at the monday marketplace. Two apps come up most often in the community threads on this topic.

  • Automated Assignments by Move Work Forward offers round robin, random assignment and least assigned person, which picks the team member with the fewest ongoing items. Its help page does not mention working status or out of office handling.
  • Round Robin Pro is described by its developer as adding an absent status so nobody out sick receives items, weighted distribution, and timed reassignment to the next person when a status does not change in time.

Apps close the gap on Work Management boards and add load awareness, at the cost of another vendor, another permission grant and logic that lives outside your board. Check each app listing for current pricing and for which boards it supports before you commit a team to it.

How Assigner assigns monday.com tasks fairly

Assigner is task assignment software that sits beside monday.com and decides who takes each new item. Your boards stay where they are. Assigner takes the new item in, picks one available person, and writes that name back to the People column you use today.

  • Works on every product. Work Management intake boards, monday CRM leads and monday service tickets use the same rules, so ops, sales and support stop maintaining three different setups.
  • Rotation with real availability. Round robin or weighted round robin that skips people who are out, off shift or over the cap you set, instead of relying on someone remembering to change a status.
  • Load before turn. Load balanced routing sends work to the person with the most room, so the rep with 35 open leads is not next just because the counter says so.
  • Skills and priority. Route by language, product line, region or customer tier, with priority work jumping the queue.
  • A reason on every assignment. Each owner comes with the rule that chose them, for example skill match plus lowest load plus available, which is the answer a manager needs when someone asks why.

Pricing is per user: Starter is $7 per user per month billed yearly, Team $18 and Business $36, each with a 5 user minimum, and you license only the people who receive work. Try the routing studio at the top of this page with your own team and rules before you buy.

How does round robin work in monday CRM?

Can I use round robin on a monday Work Management board?

Does monday.com round robin consider workload?

No. monday states that round robin does not factor in a team member workload, only their availability according to their working status. To balance by open items you need a least assigned method from a marketplace app or load balanced routing from a tool such as Assigner.

Why is my monday.com round robin skipping someone?

The automation only assigns people whose working status shows them as available, so check that person profile status first. Also check that they belong to the team selected in the automation and that their account has access to the board. People not in the team are never part of the rotation.

How do I auto assign tickets in monday service?

Open the three-dot menu on the Agent column of the Tickets board, choose Settings, then Assignment routing, and select the team to rotate through. Each new ticket goes to the next person and the order resets every 30 days. For AI matching, choose Auto-assign people and list skills or roles per agent.

Which monday CRM plan includes round robin?

Can monday.com assign a task to a whole team?

Not through round robin. monday documents that you cannot assign entire teams with round robin, only individual team members. You can still put a team in a People column manually or with a fixed assignment automation, but rotation always picks one person.

How often does the monday.com round robin reset?

Every 30 days. monday describes the reset as a way to keep distribution fair over time. The person first in the order receives the first item after each reset, and the current position in the rotation is not shown on the board.

How do I assign a task owner in monday.com?

Click the cell in the People column of the item and choose a person or team. To do it automatically, add an automation such as when an item is created, assign the creator, or use round robin on monday CRM. The owner then gets a notification and the item appears in their My Work view.

How much does Assigner cost for monday.com task assignment?

Starter is $7 per user per month billed yearly with round robin, capacity caps and availability skip. Team is $18 and adds load balanced and priority routing across all work types. Business is $36 with territory rules and weighted round robin. Each plan has a 5 user minimum.
